Federation staff accounts

Everyone who works for the federation in Vote4Dance uses their own personal account, with a role in the federation. There are no shared federation logins.

Step 1: Each person creates a personal account

Everyone creates their own account at vote4dance.com, with their own email address. See Account creation: the form is the same for everybody.

Step 2: Add them to the federation

Federation → Settings → Roles & access. Search for the person by name or email, and press Add. They start as Viewer. They must already have an account.

Adding staff needs the Administrator or Owner role. See Federation settings.

Step 3: Give each person the right role

Role	Give it to	Can do
Viewer	Board members, auditors	Read everything, change nothing.
Manager	The licence secretary, and whoever handles clubs	Licences (issue, approve, edit, suspend, remove), approving clubs and licence issuers, class memberships. Open Competitions and Statistics.
Administrator	Whoever runs the federation’s structure	Everything a Manager does, plus divisions, classes, rules, rankings, Stripe and settings; age moves and recalculating progress; club transfers, moving an approved licence to another club, and removing a club. Can add staff up to Manager.
Owner	The person ultimately responsible	Everything, including making others Administrator or Owner.

A Manager covers the day-to-day licence and club work. Club transfers, age moves and moving an approved licence to another club need an Administrator. See Federation staff roles.

Step 4: Make sure you are not the only one

• Have at least two Owners. Nobody can change or remove their own role, and there is no one-step ownership transfer.
• Have at least one other person who can approve licences, for holidays and the season rush.

Check it works

Each person signs in with their own account, opens the federation, and checks they see what their role should see. Viewers see no menu items; they open federation pages by link.

Common problems

Problem	Fix
Add fails	The person has no Vote4Dance account with that email, or is already on the list.
Someone cannot find a button, or the page says an action needs a federation Administrator	Their role is too low. Managers do not see Administrator-only buttons. To check what a role allows, click the role name in the federation bar.
You cannot change someone’s role	An Administrator can only change Viewers and Managers. Ask an Owner.
