School or club joining a federation

This step establishes your organization as federation-approved so licenses, eligibility checks, and federation-dependent workflows can run correctly.

You are obtaining and verifying federation recognition for your school/club.

Where to do it

What the flow actually is

It is three clicks and a wait, not a paperwork exchange. Any documents or fees your federation wants are arranged outside Vote4Dance; the product only carries the link and its approval state.

  1. Open Organization → Administration → Federation. Applying needs the club’s Administrator role.
  2. Select yours in the selector and press Apply
  3. The federation shows as Pending until a federation manager approves it, then Approved

A club belongs to one federation at a time. Applying to a second is refused — “The organization already belongs to a federation” — so detach from the first if you are genuinely moving. A club attached to a federation also cannot be deleted until it is detached.

You can cancel your own application, or detach later, from the same page.

Why the approval matters so much

Until the federation approves the club, no licence naming that club can be issued. The federation sees the block on its own side too: “club is still pending federation approval, so no license it holds can be issued.” So a club that applies late blocks every one of its dancers, however early those dancers applied for their licences.

Issuing is a separate permission

Approval and licence issuing are two different things. A federation can approve your club and still leave it unable to issue: “This organization is linked to the federation but cannot issue licenses.” Allow license issuing is a separate switch on the federation’s side, and it is what licence items with organization mode Required need.

If your club is approved but licence applications still will not go through, this is usually why — ask the federation for the issuer role rather than re-applying.

After approval, check

  1. The federation shows on the club with an Approved tag
  2. Organization → Administration → Licenses offers that federation
  3. If you need to apply for members on items that require a club, that the federation has also given you licence issuing

Verify it with one real application

Before you open the floodgates, apply for one member’s licence and watch it move. That proves the club link, the issuer role and the item settings in one go. See Getting a license.

Common blockers and fixes

“We have been Pending for a long time”

There is nothing to upload and no application ID — the federation simply has not pressed approve yet. Contact them directly. Meanwhile nobody’s licences can be issued, so it is worth chasing.

“We are Approved but licence applications still will not go through”

Almost always the issuer role: approval and “Allow license issuing” are separate. Ask the federation to enable issuing. Failing that, check the licence item’s organization mode — an item set to Not allowed cannot carry a club at all.

“A member cannot be selected when we apply for them”

They are either not a member of the club yet, or they have no date of birth on their account — the form blocks on that and shows “No birthdate”. They have to add it themselves in account settings.

What success looks like

The club shows Approved on its federation, licence applications for members reach the federation’s queue, and nothing is blocked on the club itself.
