Federation joining a federation

At federation level, this step means handling how organizations and governed participants become part of the federation workflow.

What you are actually doing

Clubs apply to you from their own side (Organization → Administration → Federation → Apply), and land on Federation → Members → Organizations as pending. You have two separate decisions to make about each one:

Decision Effect
Approve organization The club becomes Approved. Until you do, no licence naming that club can be issued — the block is shown on the licence queue as “Approve the club first”, and bulk approvals skip those licences rather than forcing them through.
Allow license issuing A separate switch. Approved but without it, “This organization is linked to the federation but cannot issue licenses”; with it, the club “can issue or manage federation licenses where an organization is required”.

Both are buttons on the club’s page (Approve organization, Allow license issuing), and both need the Manager role or higher. Removing a club from the federation needs an Administrator. See staff roles.

A club belongs to one federation at a time, so a club moving to you has to detach from its previous federation first.

Approve clubs before the season’s licence rush. A pending club silently blocks every licence its dancers apply for, and neither the dancers nor the club always work out why.

Before you approve a club

Vote4Dance has no application form: the club only presses Apply. Anything you require (a membership fee, statutes, a board list) is arranged outside Vote4Dance. Check it before you press Approve organization.

Also check that the club is not a duplicate. Two profiles for one club split its dancers, licences and results, and fixing that later needs Club transfers.

After you approve

  1. The club shows approved on the Organizations tab, and issuer if you allowed licence issuing.
  2. Apply for one licence through the club, or ask the club to, and watch it reach your queue. See Getting a license model in place.

Common problems

Problem Fix
A club’s dancers cannot get licences The club is still pending. Approve it, then the licences can be approved.
The club is approved but cannot apply for licences that need a club Allow license issuing is not on.
A club says it cannot apply to you A club belongs to one federation at a time. It must detach from its current one first.
Approving fails with a permission error Your role is Viewer. Approving needs Manager or higher.
