Applying for a school or club

At organization level, this step means making your school/club profile clear, searchable, and ready for members to join without confusion.

The mechanics on your side

Member approval is a switch on the club: “New users need to be approved before becoming members”. With it on, applications queue on the members list as Requires your action, and you approve them one by one or with Approve all. With it off, anybody who applies is in.

Approving takes at least the Manager role. What you give people afterwards matters more than the approval itself:

Role	Give it to
Member	Dancers. They represent the club and coaches can enter them; they cannot register on the club’s behalf or manage members.
Coach	Whoever creates competitors, registers them and pays for the club’s registrations.
Manager	Whoever approves memberships and handles the club’s federation licences.
Administrator	Whoever runs the club: invites people, sets roles below administrator, applies to federations, edits or deletes the club.

A dancer left on Member is correct, not a mistake to fix.

How members find and join the club

The dancer creates their own personal account. See Account creation.
They find the club and press Join organization.
With Member approval on, they wait under Members until a manager or administrator approves them. With it off, they are members at once.

The club cannot add people itself: everyone joins by pressing Join organization. That way each member has agreed that the club and its federation can see their details and manage their registrations. Coaches and other staff join the same way; an administrator then gives them their role under Permissions.

Make it easy to find the right club

Use the club’s full, official name, and a clear Short letters tag. The tag shows in start lists and results.
Fill in the city and country, so members can tell your club from one with a similar name.
Tell new members the exact club name to look for, and who approves them.

Before you tell members to join

At least two people have the Administrator role. Only Vote4Dance support can add the second one, so ask early.
Someone with Manager or higher will approve applications, if Member approval is on.
The club’s details are complete.

Common problems

Problem	Fix
A member joined the wrong club	They leave it and join yours. Check their licence names your club too: an active licence’s club can only be changed by the federation, by reissuing it.
Applications are waiting and nobody approves them	Only managers and administrators can approve. Coaches do not see the waiting list. There is no reminder.
There are two profiles for your club	Do not add members to both. Ask your federation which one is the real club; moving competitors and licences between clubs is done by the federation. See Club transfers.
Add does nothing	Only an administrator can add people, the search needs at least three letters, and the person needs an account.
