Step-by-step

Step 1: Publish internal registration instructions

Send members a clear message including:

  • event name and deadline
  • class selection guidance
  • required license/eligibility conditions
  • who to contact for help

Step 2: Validate member readiness

Before registration closes, check each member/team has:

  • active or valid-in-progress license
  • correct class eligibility
  • correct age/category data
  • correct organization linkage

Step 3: Validate team and roster data

For team entries, verify:

  • roster is current
  • partner/team composition is correct
  • no duplicate or stale members

Step 4: Support blocked registrations quickly

Common blocks:

  • license pending
  • class mismatch
  • missing profile fields

Resolve within a defined SLA (for example, 24 hours) before deadlines.

Step 5: Run pre-deadline audit

48 hours before close, run a full checklist:

  1. unregistered expected members
  2. pending license cases
  3. unresolved class/age issues
  4. incomplete roster entries

Escalate unresolved cases to organizer/federation early.

For each dancer/team confirm:

  1. correct license
  2. correct class
  3. correct age category
  4. correct club context
  5. correct partner or roster context

Common blockers and fixes

“Member says class option is missing”

Fix:

  1. verify age/class eligibility
  2. verify license requirement for that class
  3. confirm event class visibility with organizer

“Registration blocked due to pending license”

Fix:

  1. identify payer/approval path
  2. complete payment or federation follow-up
  3. retry registration after status update

“Team roster is wrong after submission”

Fix:

  1. update roster in source organization data
  2. notify organizer if entry already locked
  3. log correction and confirmation

What success looks like
